Choosing your city and venue

Amsterdam takes most international events, but it isn't automatically the right answer. The RAI is the default for exhibitions and large congresses; the hotel cluster around Schiphol is unbeatable for fly-in/fly-out leadership meetings; Rotterdam Ahoy and Jaarbeurs Utrecht offer large-scale capacity at lower cost and easier logistics; and venues like the Beurs van Berlage or Taets Art and Event Park give you character Amsterdam's hotels can't. A useful rule: pick the venue for your logistics first and your aesthetics second — in a compact country, your guests are never more than an hour from Schiphol anyway.

How Dutch venues work (and how that differs from the US, UK and Asia)

Three things surprise international organizers most. First, many Dutch venues separate the room rental from technical production — you're often free to bring your own AV partner, which usually beats in-house pricing and gives you one consistent standard if you run events in multiple countries. Second, rigging in major venues typically runs through the venue's house rigger with strict deadlines; miss them and your lighting design shrinks to floor-supported options. Third, Dutch working-hours regulations for crew are enforced — overnight builds need to be planned and budgeted, not improvised.

The production timeline that works

  • Ten to eight weeks out: lock the venue and technical partner, and execute an in-person site survey.

  • One week: full technical rehearsal scheduled, contingency backup systems confirmed.

The biggest cost drivers are LED surface area, crew nights and last-minute changes — not the equipment list itself.
